Foundations Specialist, Harford County Public Library job with Harford County Public Library


Summary of the position:
The Foundation Specialist performs a variety of administrative and technical tasks in support of the Foundation Director and the Harford County Public Library Foundation Office. Responsibilities include data entry, processing of donations, assistance to events organized by the Foundation.
Essential tasks:

Provide administrative and clerical support to the Foundation Director and the Foundation office; Process gifts and pledges in a timely manner, create and send invoices to donors and sponsors; Maintains accurate Foundation records; Maintains accurate financial records and works with the finance team to reconcile; Prepares and deposits checks and cash at the bank; Accurately maintain donor records, gift tracking, outreach and stewardship; Prepares donor, event and fundraising reports as assigned; Provides administrative support for meetings and events; examples include maintaining guest lists, creating agendas, setting up and ventilation, taking minutes, and preparing summary summaries; Assists in the preparation of presentations, reports and other correspondence as directed; Support the planning, management and coordination of assigned special projects; examples include annual campaigns, thank you mailings, fundraisers and special events; Attends Foundation awareness events and special programs as needed; Assisted in the maintenance of the Foundation’s website and social media channels.

Monitoring functions:

May help supervise Foundation volunteers, including coordinating scheduled visits, planning the appropriate projects to be carried out, training and ensuring that the appropriate resources are available to meet the needs of those projects under the direction of the Director of the foundation.

Standard functions:

Provides support to Foundation committees and participates in workshops, seminars and trainings upon request; Informs the supervisor of suggested ways to improve the efficiency and effectiveness of staff and procedures as well as system-wide goals and objectives; Maintains good public relations with the community through contacts with government officials, community leaders, volunteers, Friends of the Library, appropriate school staff and the general public; Learns new skills and technologies to maintain skills in areas of expertise; Is reliable and punctual; Maintains a positive, friendly and cooperative attitude and provides consistent customer service; Complies with all library policies and procedures as defined in the Harford County Public Library Policies and Procedures Manual; Performs other assigned duties.

Minimum requirements:

Bachelor’s degree in marketing or a related field; Two or more years of job-related experience; OR the equivalent combination of technical training, education and / or experience; Computer skills and experience including Raiser’s Edge NXT software, Zoom, Microsoft Teams, word processing, spreadsheets, databases, internet and social media. Experience in the use of digital cameras, including uploading, organizing, tagging and storing images online; Ability to obtain and maintain a favorable criminal history report; Ability to provide documentation of a valid driver’s license with no more than 3 points; Ability to work day, evening and weekend hours.

Knowledge, skills and abilities:

Knowledge of fundraising principles and practices; Attention to detail with good organizational and planning skills; Grammar, proofreading and editing skills; Ability to maintain strict confidentiality in all areas; Ability to prioritize, multitask and work on multiple projects at once; Ability to use relevant computer systems, including hardware and software, and office machinery; Ability to create and manage appropriate databases and record keeping; Ability to adapt, flexibility and patience with clients and staff; Team player and ability to work collaboratively; Strong communication skills, both oral and written; Basic mathematical skills; Ability to travel in and out of branch. Work Environment: The work requires occasional physical exertion in handling light materials, up to 30 pounds, in a non-tiring work environment. For example, moving material both within the department, including working on the library float, and in preparation for off-system events, including setting up tables, chairs and display devices . The environment includes moderate noise (i.e. an office with conversations, photocopiers and / or computer printers). Requires sitting and using the computer and keyboard for extended periods of time. Adhere to safe workplace practices with an open workspace, including office machinery, avoiding trips and falls, proper lifting techniques, and compliance with fire regulations. The ability to travel to branch / outdoor locations is required.
